What is employee capacity?
What people have available to do their work and keep doing it.
That covers four things:
- What they start the day with. Whether they arrive with something to give or already behind.
- Whether the work leaves time to recover. Rest between busy stretches, and a working day that ends.
- Room to concentrate. Whether they can stay with one job long enough to finish it.
- Holding up under pressure. How they cope when the hard weeks do not stop.
An example
Two teams have the same skills, the same workload and the same commitment to the work. In the first, people finish the week able to think. In the second, people finish it unable to. The difference is capacity.
What employee capacity is not
- Not skill. Skill is what someone can do when they are at their best. Capacity is how often and how long they can be at their best.
- Not engagement. Engagement is whether people want to do the work. A person can want to and still have nothing left. See capacity vs engagement.
- Not wellbeing as a category. Capacity is about the working week: what it asks of people and what it leaves them. It is not a general measure of how people are doing.
- Not a medical measure. Capacity at work is not a diagnosis, and a measure of it should never hand an employer any person's health information.
- Not a personality trait. It changes with the work. A person's capacity in a calm quarter is not their capacity in a crunch.
Capacity belongs to the person and the work
Capacity is shaped by two things at once: what the person brings, and what the work asks. Sleep, health and life outside work matter. So do staffing levels, meeting load, interruptions and how decisions get made. Most of what an employer can change sits in the second group.
That is why capacity is worth measuring at team level. It shows where the work asks more than people have.
Where the term comes from
"Capacity" is used for machines, hospitals and budgets. Organizations measure financial and operational capacity as a matter of course. Human capacity is measured less often, and usually only after something has gone wrong: an absence, an error, a resignation.
